How to build a daily routine that fits your time

A useful routine is a short sequence you can adjust, not a promise that every day will run to plan. Start with the time available, put a few actions in a sensible order, and use the schedule to see where they fit.

Updated

Set up your routine

Enter a start time and the number of minutes available. The starter routine begins at 09:00 with a 45-minute window and three steps: 15 minutes outside, a 10-minute pause and five minutes writing. You can rename those steps, change their lengths or delete them. Give a new step a name and duration, then select Add step. Use Move up and Move down to place each action where it makes sense.

The schedule updates when you finish a valid edit. Its times follow the order shown, so moving a step changes the start and end times of the steps around it. You can set an evening start time; a step that crosses midnight is marked as happening the next day.

Choose the steps before filling the minutes

Begin with a reason for the routine: getting out of the door, closing the workday or making room for a quieter morning. Write down only the actions that serve that reason. Then estimate each action in whole minutes. A step should describe something you can actually do, such as “put shoes by the door”, rather than an outcome such as “feel organised”.

The tool adds the step durations and compares the total with your chosen window. If the total is shorter, it shows the minutes still open. If it is longer, it shows the overrun without deleting or shortening anything. Open time can be useful for transitions; it does not need a task. If you are over, decide which step to shorten, move elsewhere or remove.

A 15-minute example

Suppose you have 15 minutes from 08:15 before starting work. Set the start time to 08:15 and the available time to 15 minutes. Replace the starter steps with “Get outside”, “Make a drink and pause” and “Write today’s first task”, allowing five minutes for each.

Example morning routine
TimeStep
08:15–08:20Get outside
08:20–08:25Make a drink and pause
08:25–08:30Write today’s first task

The total is 15 of 15 minutes, with none open. If getting outside usually takes seven minutes, change that step to seven; the routine will end at 08:32 and show a two-minute overrun. You might shorten another step or allow 17 minutes and start at 08:13.

Adjust it for real days

Keep steps small enough to recognise when one is done. On a crowded day, a two-step version may be more useful than a long list. For an evening routine, put fixed commitments first and let flexible steps follow. If the same step repeatedly takes longer than you entered, increase its allowance; the displayed schedule is only as realistic as your estimates.

A routine can also provide a starting point for the weekly wellness planner if you want to place activities on particular days. You do not need to repeat every routine step every day.

Completed changes save in this browser on this device. They do not sync to another browser or device, and clearing browser data can remove them. Clear saved plan removes the stored copy after confirmation, while leaving the current plan on screen. Download text makes a separate file; Print opens your browser’s print options, where you may be able to save a PDF.

The times are a planning aid, not reminders or a live timer. The tool does not check travel time, interruptions or whether a step is right for you. Treat the result as a draft you can revise when your day changes.

A few useful details

Can I make an evening routine?

Yes. Set any start time, change the starter steps, and add the things you want to do. Timings can run past midnight.

What if my routine is too long?

The total shows how far you are over your chosen time window. Your steps stay intact so you can decide what to change.
